Closes #392

Builds on #381 (memory scopes) and #349 (folder notes).

What changes

Folder notes follow scopes. An added folder or vault has a scope: always (Every chat), personal, work or a project. Folders added before this keep always, so nothing changes for current users (SCHEMA_VERSION 11 -> 12, folders.scope added with default always).

  • Note pieces in a chat's prompt (Small models don't search your notes on their own: add the best matching note pieces to the prompt #354), folder_search and folder_read only read folders whose scope is always or the run's scope (the chat's or task's, as memory_recall does). Work not tied to a chat or task, and POST /api/folders/search, read every folder.
  • folder_search(everywhere=true) and folder_read(everywhere=true) reach other folders when the user asks. Those results carry kept_for. If nothing in this chat's folders matches, the note names the scopes it left out (never their content).
  • When only some folders are searched, the other folders' pieces are dropped before ranking. Without that, a closer match in a work vault could push a personal note out of the top 60 candidates, or out of the similarity window. There's a test that fails without this.
  • REST: POST /api/folders {scope?}, PATCH /api/folders/{id} {scope}, Folder scope. GET /api/memories/scopes lists a project that a folder uses.

/scope in Telegram, Discord and WhatsApp.

  • /scope work, /scope personal and /scope <project> set the chat's sessions.memory_scope and publish session.updated. It's answered in channels/base.py without a model call.
  • /scope alone says which scope the chat uses and lists the projects. /scope default follows the app's setting again. /scope always gets a plain refusal.
  • An existing project matches regardless of case and spacing. /new keeps the chat's scope.
  • Like every command, only paired chats can use it. On main, paired chats are direct chats (WhatsApp is the self chat). feat(channels): treat other people in group chats as outside content, and let the user trust a chat again #385 (still open) blocks other group members before commands are parsed, so /scope becomes owner-only in groups with no extra code once it lands.
  • The help text and setup instructions mention /scope. The tool activity line for folders now reads "Looking in your notes" instead of "Using folders".

Memory screen badges. The scope badge now reads "Used in Work" (or "Used in every chat", or "Used in Paperkite") in a dashed, square outline. It sits at the right of the source and time line, away from the coloured round topic pills, so "Work" can't be mistaken for "Work & Learning".

Settings > Folders. Each folder card has a "Used in ..." picker. It's the chat scope menu with an Every chat option and room to name a new project. The choice applies at once, and a toast says where the folder's notes are used.

Docs: docs/API.md sections 7 (Memory scopes), 14 (/scope), 20 (backups) and 22 (folder scopes, tools, REST). Also CHANGELOG.

Tests

  • New tests/folders/test_folder_scopes.py (7 tests):
    • default always and changing scope
    • a work folder stays out of personal search, prompt pieces and folder_read, and everywhere returns kept_for
    • the note when every folder is out of scope
    • chats and tools use the chat's scope (a real run_turn)
    • REST
    • migration from a version-11 database
    • the crowding case, with 70 work notes against one personal note
  • New tests/channels/test_scope_command.py (3 tests):
    • /scope shows and changes the scope with no model calls, and the next turn's prompt holds work facts, then personal ones
    • projects, a new project, always refused, /new keeps the scope, /scope default, /help
    • unpaired chats are refused
  • Full suite: 2307 passed, 2 skipped (then tests/channels and tests/folders again after the last edits: 167 passed, 1 skipped). Ruff, desktop typecheck and build are clean.

Real test

Engine from this branch on :8784 with a fresh SENTIENT_HOME and a random gateway token. SENTIENT_TELEGRAM_API pointed at a fake Bot API on this computer (127.0.0.1:8785), using a made-up token kept in the test home's own keychain namespace. Two folders with fictional Maya Rao notes:

  • Maya Work Notes, scope work: "Kestrel launch.md", which says the bank partner demo moved to Friday 23 October at 3 pm in the Indigo room.
  • Maya Home, set to personal with PATCH /api/folders/{id} {"scope":"personal"}: "Flat lease.md".

Memories: work "Arjun is Maya's engineering manager on Project Kestrel", personal "Maya's sister Meera lives in Lisbon", always "Maya prefers short, direct answers". Ollama embeddings ran under the shared Ollama lock.

claude-code/sonnet (fast claude-code/haiku). The same question, "What's happening with the bank partner demo on Friday?", in two desktop chats:

  • Personal chat: the log says note pieces in the prompt: none matched. Sonnet called memory_recall and folder_search, and only the Maya Home folder was searched. The reply was "I don't have anything saved about a bank partner demo, no notes or memories match it...". memory_sources held only the sister and short-answers memories.
  • Work chat: the log says note pieces in the prompt: Kestrel launch.md. The answer source was {kind: file, title: "Kestrel launch", folder: "Maya Work Notes", via: prompt}. The reply was "From your Kestrel launch note: the bank partner demo is Friday, 23 October at 3pm in the Indigo room. Arjun signs off the release candidate the day before...".
  • Telegram (fake API), in a chat paired with /pair <code>:
    • The pairing reply included the new /scope help line.
    • /scope replied "This chat uses your Personal memories, plus the ones kept for every chat. ..."
    • "When is the bank partner demo, and who is my engineering manager?" got none matched, and the reply was "I couldn't find anything about a bank partner demo or your engineering manager in your notes or memory...".
    • /scope work replied "Done. This chat now uses your Work memories, plus the ones kept for every chat. It no longer brings up your Personal memories, and what it learns is kept for Work." WS /ws carried session.updated {session_id, memory_scope: "work"}.
    • The same question then got note pieces in the prompt: Kestrel launch.md and the reply "The bank partner demo is Friday 23 October at 3 pm in the Indigo room (...). Your engineering manager on Project Kestrel is Arjun."
  • The new "folders left out" note: a later personal chat got this folder_search result: {"results": [], "note": "Nothing in the folders this chat uses matches that. Folders kept for Work chats weren't searched..."}. Sonnet still didn't mention the work folder, and asked where the demo is tracked. It didn't use everywhere, so the work note stayed out.

ollama_chat/qwen3:8b (primary and fast, under the Ollama lock):

  • Personal chat: none matched. It called folder_search {"query": "bank partner demo"} and replied "No notes or documents found about a "bank partner demo" in any folders."
  • Work chat: Kestrel launch.md went into the prompt. The reply was "The Kestrel bank partner demo is scheduled for Friday, October 23 at 3 pm in the Indigo room. Arjun will sign off the release candidate on Thursday...", with the note as a source.
  • Telegram:
    • /new, then /scope, said "This chat uses your Work memories", so /new kept the scope.
    • /scope personal, then "When is the bank partner demo?", got none matched and "No stored info on the bank partner demo...".
    • /scope work, then "Check again: when is the bank partner demo?", got Kestrel launch.md and "The bank partner demo is scheduled for Friday, 23 October at 3 pm in the Indigo room."

Screenshots (the built app via smoke.mjs on a home seeded with Maya Rao, plus one capture over a debugging port this run opened). I looked at each one:

  • 392-memory-badges (memory?view=list):
    • Cards keep their round coloured topic pills ("Work & Learning", "Health & Wellbeing").
    • The scope sits at the right of the source line as a dashed square "Used in Work", "Used in Paperkite" or "Used in every chat".
    • "Maya prefers meetings after 2pm" shows both a "Work & Learning" pill and "Used in Work", and they look clearly different.
  • 392-folders (settings/folders): the three folder cards show "Used in Work" and "Used in Personal" (highlighted) and "Used in every chat" (plain), next to the Leave out field.
  • 392-folder-picker-open: the picker under Maya Home is open. It says "Which chats use the notes in this folder. A Work folder only comes up in work chats, unless you ask about it.", then lists Every chat, Personal (checked), Work, Projects: Paperkite, and a "New project" field.

Notes for the owner

  • SCHEMA_VERSION is now 12. Any other open PR that bumps it will conflict on that one line.
  • New folders also default to Every chat. They can be set to another scope after adding them.
  • One Sonnet turn failed once with Claude Code's "Reached maximum number of turns (1)". It wasn't related to this change, and the retry worked.
  • On the Memory screen, the topic filter chips still say "Work 26" for the Work & Learning topic. That's the topic filter, separate from the "All chats" scope filter. I left it alone.

Summary by CodeRabbit

  • New Features

    • Choose which chats can use a folder’s notes: every chat, personal or work chats, or a project.
    • View or change a chat’s memory scope with /scope in Telegram, Discord, and WhatsApp. New chats retain the current scope.
    • Folder searches and reads use the chat’s scope by default, with an option to search or read across scopes.
    • See “Used in …” scope labels on the Memory page and scope controls in folder settings.
  • Improvements

    • Existing folders default to every chat. Folders assigned a narrower scope are available only to chats in that scope.

CodeRabbit follow-ups (round 1)

  • Project spelling. memory_scopes.resolve reuses the spelling of a project already in use, whatever the case, so a folder added as "atlas" joins "Atlas" and doesn't make a second project. Folder add and update, and /scope, go through it.
  • Filtering before the candidate limit. Keyword search filters to the searched folders inside the SQL, before LIMIT. The vector look asks for 4x more neighbours at a time until 60 are in those folders, there are none left, or it reaches sqlite-vec's 4096. The crowding test now uses a candidate limit of 5 with 30 office notes, and it fails without the filter.
  • Real re-check (same home, engine restarted on this commit, claude-code/sonnet). In a work chat, "Search my notes: when is the bank partner demo?" called folder_search and answered from "Kestrel launch" in Maya Work Notes. In a personal chat, "Search my notes: when does my flat lease end?" called folder_search, which returned only "Flat lease" from Maya Home, and the reply was "Your lease on flat 304, Lavender Court ends 31 May 2027."

After #385 merged

  • I merged main in. /scope sits next to /trust, /new keeps the scope through new_session, and the help lists both commands.
  • In a group, another member's /scope work changes nothing and gets no reply, and the owner's works. New test: test_in_a_group_only_the_owner_can_change_the_scope. API.md section 14 says so.
  • Full suite after the merge: 2346 passed, 2 skipped.

… clearer scope badges

Folders get a scope (always by default, also for existing ones): note pieces,
folder_search and folder_read only read folders of the run's scope unless asked
everywhere, and other folders' pieces are dropped before ranking. Telegram,
Discord and WhatsApp get /scope work|personal|<project>, answered without a model.
The Memory screen shows the scope as "Used in Work" next to the source, and
Settings > Folders has a Used in picker. SCHEMA_VERSION 12.

📝 Walkthrough

Folder notes can now use memory scopes, and chat sessions can select a scope with /scope. Folder prompt notes, searches, and reads follow scope rules, with an option for cross-scope access. The desktop adds folder scope controls and updates memory scope labels.

Changes: Memory and folder scope behavior

Layer / File(s) Summary
Persist folder scopes and expose them through APIs
sentient/folders/schema.sql, sentient/store/db.py, sentient/folders/service.py, sentient/gateway/routes/folders.py, sentient/memory/scopes.py, desktop/src/lib/api.ts, desktop/src/lib/types.ts, docs/API.md, tests/folders/test_folder_scopes.py
Folders store a scope that defaults to always. The folder API accepts scope values, scope discovery includes folder scopes, and existing databases receive the default scope.
Select a memory scope in chat
sentient/channels/base.py, sentient/channels/discord.py, sentient/channels/telegram.py, sentient/channels/whatsapp.py, docs/API.md, tests/channels/test_scope_command.py
/scope reports, changes, or resets a chat’s memory scope. New sessions retain the previous scope. Channel instructions and tests cover the command.
Apply scopes to folder recall and tools
sentient/agent/loop.py, sentient/folders/service.py, sentient/folders/tools.py, docs/API.md, tests/folders/test_folder_scopes.py
Prompt notes, searches, file resolution, and reads apply the run’s scope. Folder tools accept everywhere=true for cross-scope access and identify results kept for another scope.
Manage and display scopes in the desktop
desktop/src/features/settings/sections/Folders.tsx, desktop/src/features/chat/ChatScopeMenu.tsx, desktop/src/features/memory/MemoryList.tsx, desktop/src/features/memory/bits.tsx, desktop/src/hooks/folders.ts, CHANGELOG.md
Folder settings can update a folder’s scope. Memory scope badges use updated wording and styling, and the changelog describes the scope controls and labels.

Merge Risk: 🟡 Moderate · up to 6d451

A chat may receive a reply using its previous scope after confirming a change, and a folder-restricted search may return notes from another folder. Address these behaviors before merging.

Security architecture risk: 🟡 Moderate · up to 6d451

Folder filtering improves separation between personal, work and project material. However, a scope change can be confirmed while an ongoing response continues using the previous scope, potentially showing personal material after switching to Work. Paired-chat and group-owner checks limit who can initiate the change.

Retained concerns

  • Medium · security · inferred: The new /scope command acknowledges that the chat no longer brings up its previous memories without waiting for, cancelling or invalidating an active turn. A turn that already captured Personal scope can continue reading Personal folders and emitting results after the Work confirmation; accepted steering can also remain inside that old-scope turn. This is a confirmation-time privacy contract mismatch, not evidence that an unpaired sender gains access. The underlying snapshot behavior predates the PR, but the messaging command and its immediate assurance are new.
Security review details

Security Blast Radius

  • inferred — The supported transition exposure is the affected session's earlier-scope material delivered to its paired chat, including a paired group's audience where applicable. Deliberate everywhere calls can reach all folders added to that installation. The inspected path does not establish cross-account access or a way for an unpaired sender to change scope.

Security Findings and Attack Paths

  • inferred — A feasible interleaving is: a Personal turn captures its session scope; the paired owner sends /scope work; the command persists Work and confirms that Personal memories are no longer brought up; the active turn continues with its Personal prompt and tool context. No attacker-controlled scope string is needed. This supports a privacy-transition concern, while the supplied candidate remains formally deferred and no runtime exploit was demonstrated.

Trust Boundaries and Controls

  • observed — Pairing and group-owner checks execute before /scope dispatch. The command validates prohibited chat scope always without invoking a model. Sequential tests cover subsequent-turn recall, reset, project normalization and owner-only mutation; they do not exercise a scope switch during an active turn.
  • observed — The everywhere exception is controlled by tool arguments and instructions to use it only when the user asks. The inspected handlers do not independently confirm that intent. Because the base already allowed unrestricted folder access, this is a limitation of the new contextual gate rather than an established PR-introduced expansion of folder authority.

Resilience and Maintainability Implications

  • observed — /new and /stop explicitly cancel active channel work, unlike /scope. Queued work normally starts another turn and rereads session state, whereas extraction spawned by the old turn retains its captured scope. Background work is tracked and drained during shutdown with a timeout and cancellation, limiting continuation across process shutdown but not after a scope confirmation.

Hardening Proposals

  • proposed — Define the scope transition explicitly: either make it a next-turn setting and disclose that ongoing work retains its previous scope, or establish a completion barrier before acknowledging immediate separation. A barrier should address active output, steering, queued messages and background saving without silently discarding user work.

…e a project's spelling

Keyword search filters to the searched folders in SQL and the vector look asks for

the spelling of a project already in use.
/scope sits next to /trust; /new keeps the scope through new_session; in a group only

Finish the active turn before confirming a scope change.

The per-chat lock does not cover the task created for an active reply. /scope work can therefore confirm Work while the Personal turn continues and emits Personal memories or folder notes.

Wait for the active worker before changing the scope. Do not call cancel_turn without preserving queued messages, because cancellation exits _turn_worker before it drains rt.queued.

🐛 Suggested fix
         if cmd == "scope":
+ if rt.running:
+ assert rt.turn is not None
+ await rt.turn
             await self._scope_command(chat, arg)
             return

Review comment at @sentient/channels/base.py around lines 1163 - 1165:
Update the scope-change flow around set_session_scope to wait for the active
turn worker to finish before persisting and publishing the new scope. Do not
cancel the turn; allow it to drain queued messages.
